Lessons Learned From a Year of Client Projects

A year of delivering client software projects across ERP, AI and web development keeps surfacing the same handful of lessons, chief among them that scope creep is far easier to prevent than to fix, and unclear requirements cost more time than clarifying them upfront ever does.
Across a year of projects spanning ERP, AI and web development, a few lessons keep repeating: scope creep is easier to prevent than to fix, and unclear requirements cost far more time than clarifying them upfront ever does.
We have also seen that the projects with the smoothest launches are consistently the ones where the client designated a single, empowered decision-maker rather than requiring committee sign-off on every choice.
We fold these lessons back into how we run new engagements, treating each project as an input to improving the next one.
One pattern worth calling out specifically is how scope creep usually arrives: not as one dramatic change but as a steady stream of small, individually reasonable additions, each easy to say yes to in isolation. The fix is not refusing changes outright but making their cost visible at the moment they are requested, so a client can weigh a new addition against its actual impact on timeline rather than assuming it is free.
The decision-maker pattern was less obvious going in but became one of the clearest predictors of a smooth launch. Projects requiring sign-off from a large group tended to stall on minor decisions that a single empowered owner would resolve in a short conversation, and that friction compounded across dozens of smaller choices over the course of a project.
We now raise both points directly during project kickoff, agreeing on a change-request process and confirming who holds final decision authority before development begins, rather than discovering the answer to either question under time pressure partway through.
